How to create a space calendar that will not be applied to your clients' billing plans and will be charged separately

You may run into a situation where your client needs to reserve a space that should not be considered "time in the kitchen." For example, they may book your conference room, event space, or photography studio, and you don't want these reservations deducted from your clients' regular billing plan hours or credit. No problem!

You can create or update a Space Calendar and set it so it won't apply towards your client's time-based billing plan, credit-based billing plan, or their custom hourly rate. Instead, time reserved on this Space Calendar will be billed separately, per the calendar rates, on the day of the booking.

To create your Space Calendar:

  1. Navigate to your Kitchen Settings tab > Calendars > Space Calendars > Add new space calendar (or edit an existing space calendar).

  2. Select No, bookings in this space should be charged separately from client billing plans.

  3. Click Save.

All bookings on this Space Calendar will be billed per the calendar's default hourly rate and off-peak hourly rate (if applicable), regardless of the client's billing plan.

Examples:

  • Carla's Cookies is on a Time-based billing plan, and they book 2 hours in your Event Space, priced at $100/hour. At midnight after their booking, Carla's Cookies will be charged $200. Their billing plan's base hours and/or overage hours will not be impacted.

  • Raymond's Rolls is on a Credit-based billing plan, and they book 3 hours in the Studio priced at $50/hour. At midnight after their booking, Raymond's Rolls will be charged $150. Their billing plan's base credit and/or overage will not be impacted.

  • Heidi's Hoagies is on an Hourly billing plan for a custom rate of $15/hour, and they book 2 hours in the Conference Room priced at $0/hour. Heidi's Hoagies will not be charged, since the client is charged based off the default Space Calendar rates.
