This FAQ answers common questions about how overage billing works in The Food Corridor — including when to adjust settings, how client billing appears, and what happens if you make mid-month changes.

When should I switch how a client is billed for overage?
We recommend changing your overage settings either by adjusting current plans or by planning ahead.
How to adjust current plans:
Make changes to current plans at the start of the month (e.g., the 1st) before clients accumulate any overage hours. This ensures all usage is billed correctly and no hours are missed.
⚠️ Important: Making a change in an active billing plan will immediately change how all clients on that plan are billed for overage.
⚠️ Important: If switching to overage billed daily, any overage already accumulated will not be billed. To charge for past overage, add a one-time fee.
How to plan ahead:
Create a new billing plan with your updated overage setting.
In each client’s profile, select Edit > Billing Plan > Next Month’s Billing Plan to assign it.
Recommended if clients already have accumulated overage or you want different overage billing methods for different clients.

How does overage look on the client's side?
Clients will be able to see the overage they have accumulated that month by logging into their Food Corridor account and looking at their Bookings tab.
For clients on a Time-Based Plan, their overage shows as:

How are equipment rentals charged for overage bookings?
Whether you are billing clients for overage on a monthly or daily basis, all equipment booking costs will be added to the client's next month's bill.
What happens if I switch a client's overage settings mid-month?

Switch to Daily | Future overage billed at midnight. Past overage not billed. | Add a one-time fee if needed. |
Switch to Monthly | Future overages added to next month’s bill. Past overage already billed not included. | No change to past charges. |
If I'm billing overage daily, what happens when a booking is only partially covered by the base plan?
Only the amount that is considered overage will be billed to the client, the rest will be covered by their billing plan.
👉 Time-Based Plan Example: A client has a 5-hour booking. Their base limit is reached after 3 hours. The client will be billed for 2 overage hours at midnight following their booking.
👉 Credit-Based Plan Example: A booking costs $80, and they only have $20 of credit left in the plan's base. The client is charged $60 at midnight following their booking.
If I'm billing overage daily, what happens if I change a billing plan's base hours or credit mid-month?
If you lower the base:
Past bookings that now exceed the new base won’t be charged. Use a one-time fee if you'd like to bill these.
Bookings in the past for daily overage cannot be updated, only deleted. If the booking is deleted, a credit will be added to the client's statement for the amount they were billed for the overage charge.
If the client hasn’t used up the base yet, charges will begin once the new base is met.
If you increase the base:
Any hours already covered under the previous base stay unchanged.
Any overage that’s already been billed will remain as-is.
👉 Example: If the old base was 10 hours and the client booked 15 hours, 5 were billed as overage. If you later increase the base to 20 hours, those 5 overage hours will still remain billed — they won’t be adjusted automatically.
If I'm billing overage daily what happens if I change the plan’s billing percentage (Credit-Based) or overage tier amounts (Time-Based) mid-month?
If the plan's base has already been met:
Previous charges will stay the same.
The new percentage or tier rates will apply to new bookings and updates you make on past bookings.
If the plan's base hasn’t been met yet:
The new percentage or tier rates will apply to all bookings for that month, including ones already made.
If the updated rate causes the base to be reached, any future bookings will start being billed as overage (daily).
For past bookings that now go over the new base:
These won’t be billed.
If you’d like to bill for them, you can add a one-time fee.
