If you are a new kitchen administrator, are about to open a kitchen, or are revamping your onboarding process, you may be building your onboarding process from scratch. From completing the kitchen application to scheduling a tour, learning policies, and signing the contract, the Onboarding Flows feature from The Food Corridor supports your prospects in becoming engaged and compliant long-term renters. This guide will help you set up your kitchen's specific onboarding process to build into Onboarding Flows.

Brainstorming the Path

The first step to developing your onboarding process is brainstorming the path a renter takes from first learning about your kitchen to being ready to book their first production day. A good framework to use is the 4 C's - compliance, clarification, culture, and connection.

  • Compliance involves the renter learning the basic rules and policies of the kitchen, as well as filling out and providing all the necessary paperwork

  • Clarification ensures that a new renter understands the rules and their responsibilities

  • Culture explains norms for the kitchen community and can be accomplished by tours, describing equipment etiquette, how time is booked and how cancelations are handled. This can be accomplished through access to videos, documents, or training.

  • Connection is where your prospect will connect socially or online with the kitchen as well as clients of the kitchen.

Below are example actions you may require your new prospects to take while onboarding to your kitchen, in order to reach the 4 C's. The link suggestions are online tools where the prospect may complete the action. These tools are simply suggestions and are not endorsed by The Food Corridor.

  • YouTube

  • Vimeo

Submit Application

  • Your prospect can complete an application to become a member in your kitchen. Ask them to tell you about their product, business stage, and kitchen needs. Having an application helps you screen and find the best applicants for your business.

Form tools

  • Typeform

  • Jotform

  • Google Forms

  • Hubspot

  • FormSite

  • MailChimp

  • On your website

Pro-Tip: With the ability to link to the application, you can move away from paper files and go digital!

Add Payment Method in TFC

  • Once the prospect adds their payment method, you can charge their application fee, security deposit, or other onboarding fees.

This action will be automatically linked to the prospect's payment method page in their Food Corridor account.

Schedule Informational Call

  • Your prospect can book a call on your calendar so you can answer any questions and make sure it's a good fit for both of you.

Pro-Tip: Since you can edit items once the checklist is assigned to a prospect, add the date in the Description to keep track of who you met with and when.

Sign Contract, Agreement, Policies and Procedures

  • Make sure your prospect has a signed contract that states your policies and procedures.

Contract management tools

  • HelloSign

  • Jotform

  • Adobe

Pro-Tip: Since you can edit items once the checklist is assigned to a prospect, add the specific URL that links directly to that prospect's contract versus a generic URL.

Pay Deposit

  • Quickly collect fees to ensure that the prospect is committed to becoming a member of your kitchen. Learn more about charging a fee on the spot in The Food Corridor system.

No link, since you will charge the deposit on your end in the prospect's profile, and mark the task complete.

Pro-Tip: Charging a deposit to become a kitchen client allows a prospect to establish a vested interest in the kitchen as a potential client.

Upload all Required Documents in TFC

You may wish to require your prospect to upload:

  • Business License

  • Insurance Policy

  • Food Handler Certificate

You may have different or more requirements for documents, in order for your prospect to be compliant. Add all your document requirements in your Kitchen Settings.

This action will be automatically linked to the prospect's Documents page in their Food Corridor account.
